The AAA respects and upholds the rights of individuals to privacy in relation to personal information. The AAA undertakes not to interfere with an individual's privacy rights in the way it collects, uses or discloses the personal information of any persons who provide it with such information in the course of the AAA carrying out its purposes and objects.

The AAA will, at all times, collect personal information in a fair and lawful manner. The AAA collects personal information in a number of ways, including:

  1. directly from you, when you provide information by phone, email, fax or in documents such as an application form;
  2. from publicly available sources of information;
  3. from our own records;
  4. when legally required to do so;
  5. from members of the public who are prospective AAA members.

The AAA collects personal information that is necessary for one or more of its activities or functions and to provide a range of services to its members and stakeholders.

When persons apply for AAA membership or renew their membership they are asked to provide sufficient information to allow the AAA to assess their application for, or renewal of, membership. To collect payment for membership fees, sometimes financial information, such as credit card details, is collected.

Your personal information may be used by the AAA in order to:

  1. inform you of AAA activities in which you may wish to be involved;
  2. provide the services you require;
  3. enter you into AAA competitions, promotions and events;
  4. administer and manage AAA services; and
  5. inform you of ways the services provided to you could be improved.

The AAA will send your personal information to the Australian Business Research Institute (ABRI) for the purpose of maintaining the International Alpaca Register (IAR).

The ABRI and the AAA have entered into a service agreement which specifically prohibits ABRI from disclosing your personal information without the approval of the AAA.

The IAR is available for viewing on the internet by AAA and Alpaca Association of New Zealand (AANZ) members.

The AAA may also use your personal information for the purposes of direct marketing where it is impracticable for us to obtain your prior written consent.

However, when the AAA does this, we will provide an express option for you to decline receiving any further marketing communications from the AAA or others, via an opt out mechanism.

A standard AAA Enquirer Form has been prepared which will alert those wishing additional information from the AAA of their privacy rights, and provide them an opt out mechanism.

The AAA will only send you emails if you have elected to receive such emails or if they are in response to an email we have received from you.

The AAA will not disclose any personally identifiable information obtained from you to other parties or for purposes other than those stated above, unless you provide your written consent to us.

The AAA will take reasonable steps to ensure that personal information is secure from any misuse or unauthorised access or disclosure. You may request access to your personal information, or seek to update or correct it by contacting the AAA.

If you have any queries or concerns about your personal information which the AAA maintains, or wish to correct any of your personal information, please send the details in writing to the AAA Administration Manager, who has been appointed the AAA Privacy Officer, at PO Box 1076, Mitcham North, VIC 3132.
